MS Office is ubiquitous. Many employees in many organizations are familiar with MS Word and other products in the MS Office suite. Switching or adding softwares means increased training costs and often leads to lack of acceptance by users. For these reasons, in most enterprises much of the knowledge and information is held in MS Word, MS Excel and other Office files. It’s not enough to simply make these files centrally available. Instead, to be truly useful throughout the organization, content in these files must be structured, given descriptive tags (metadata), and made searchable. Data organized in this way becomes a universal resource, for example for adding content to objects in CoreMedia CMS.

Creation and handling of CMS content directly via Microsoft Word and Excel

Office Integration by Babiel enables the use of MS Office products as editing clients for CoreMedia CMS. Users create content as usual with MS Word, Excel etc. Clicking a button in the application’s toolbar publishes the structured data to CoreMedia CMS. Structuring is handled via style formats (for example, “Heading 1”) that correspond to the respective fields (attributes) of CoreMedia CMS. The system automatically transfers common format options like bold, bullets, and tables. Office Integration not only lets users publish content and metadata to CMS, but also enables them to edit content already in CMS. Thus, users have complete control over their content, even in CMS. The only tools needed for this are Office Integration in combination with MS Word or Excel.

For this application, user-defined document templates are created. Styles and formatting are automatically transferred to CoreMedia CMS. In addition, users can enter or search metadata based on forms. Freely configurable dialog boxes in the familiar Windows style let users enter images and links to other documents, and assign categories, descriptions, headwords and much more. Documents and dialogs can be edited by XML-based descriptions as well as the Office Integration open programming interface in Visual Basic for Applications.
